Reschedule or cancel a lesson

How to move or cancel a lesson politely over WhatsApp, with copy-paste scripts in English and Chinese, make-up slot tips, and how refunds work with self-employed tutors.

Life happens: a school event moves, a fever arrives, a family dinner gets scheduled on top of the lesson. The good news is that tutors deal with reschedules all the time. What matters is giving as much notice as you can and offering options rather than leaving an empty slot.

Give as much notice as you can

Message the tutor the moment you know. More notice means the tutor can offer you a proper make-up slot instead of a lost week, and it keeps the relationship warm. Even same-day notice is better than silence; just say sorry for the short timing and offer alternatives.

Copy-paste WhatsApp scripts

Use these templates and fill in the parts in square brackets. Both are written in the natural Hong Kong style parents and tutors actually use.

Ask for a reschedule

Ask for a reschedule (parent)

Hi [Tutor Name], [Student Name] has [reason] on [Day], so could we move the [Time] lesson? [Option 1 Day/Time] or [Option 2 Day/Time] could work. Sorry for the short notice!

Cancel a lesson

Cancel a lesson (parent)

Hi [Tutor Name], sorry but [Student Name] can't make the [Day] [Time] lesson, [reason], so we'll have to cancel it. Could we look at a make-up slot next week if you have one? Thanks for understanding!

Agree a make-up slot rather than losing the lesson

Whenever you ask for a reschedule or a cancellation, offer two concrete alternatives. Tutors' diaries fill up around exam season, so the earlier you propose a make-up, the more likely it sticks. A make-up lesson keeps your child's momentum going and means nobody is chasing a missing week at the end of the billing cycle.

Cancellation and refund terms are agreed with your tutor

MatchMax tutors are self-employed, so cancellation notice periods, make-up policies, and any refund terms are agreed directly between you and the tutor, usually when you confirm the first lesson. MatchMax never holds or processes tuition payments, so MatchMax does not process refunds; if you have paid for a lesson that gets cancelled, the tutor will either carry it forward as a make-up or return it directly, per whatever you both agreed. Scheduling after the concierge window

MatchMax's concierge team helps set up your early lessons. Once matching is done and lessons are running smoothly, you and your tutor agree the schedule directly: reschedules, make-ups, pauses for school exams, and holiday breaks. That is the point of direct hiring, and it is usually faster than going through anyone in the middle. Keep the tone friendly and the notice generous, and most tutors will bend over backwards for a family who communicates clearly.
